The role holder will carry out and complete under supervision, diverse and varied tasks to support the effective functioning of the department and contribute to the delivery of departmental objectives and service level agreements. Problems will normally be associated with determining the appropriate procedure to apply to a specific task.

Act as a first point of contact for the HR department for enquiries from both internal and external customers. To provide a professional and friendly service. Prioritise own workload in an efficient manner and anticipate problems. Provide data/workload information to team co-ordinator on a weekly basis and as requested. To advise within own area of expertise and know when to escalate issues to the team co-ordinator

KPI - Customer feedback. Availability within department. Accuracy and comprehension of messages taken. Working on own initiative and asking for help if/when necessary

*Maintain efficient filing and archiving for the department, ensuring all information maintained is accurate and up to date and easily accessible by the HR team. Including the production and receipt of correspondence in line with process needs. Maintain and update personnel information on the HR systems. Ensure accuracy of computer based information to ensure that electronic staff records are up to date and work is delivered in line with department SLA`s.

KPI - All files are in workable order. Up to date, accurate information stored on HR systems. Relevant files in filing system. Archived files easily accessible. Accurate and timely action of correspondence within SLAs.

*Develop an effective working relationship with related departments across the business to ensure a streamlined service is provided to the customer. To continually look at ways of improving process and procedures within the HR function to improve the level of support provided to the customer.

KPI - Feedback from other departments. Effectiveness of service provided.

*Understand the need for confidentiality in regard to documents processed, systems maintained and access to confidential material within the HR community, and act accordingly in line with current legislation.

KPI - No information is provided to customers that shouldn't be. Confidential information is not unduly accessible (clear desks/locked cabinets)

*Work with less experienced colleagues, providing support and guidance. Ensure that all members of the admin team are kept up to date with process changes/information necessary to the undertaking of the role. Work effectively and efficiently with colleagues sharing information and tasks in order to achieve targets

KPI - All members of the team have a shared understanding of the HR Assistant role and how to perform it.
