We are currently seeking an interim Team Assistant, to work with our global FMCG client, renowned for brands such as Dove, Sure, Persil, and Simple, and become an integral part of their fast-paced FMCG environment.

The position is based in Kingston upon Thames, Surrey. This is a full-time temporary role to run until end of December 2024, requiring 36.25 hours per week, Monday to Friday. Compensation for this role is competitive, paying up to £36,000 per annum, pro rata, depending upon experience.

The role currently offers a mix of remote and onsite working, subject to adjustment based on business requirements

This Team Assistant role is to be PA for 1 Director to support their wider team by managing the following responsibilities.

  • Proactive diary management
  • Meeting room booking
  • Travel Booking
  • Team Meeting planning and organisation
  • External meeting room organisation and event management
  • Maintain content on the information portal for the team and own portal structure
  • Maintain organograms for the team and wider business partners interfacing with the immediate team
  • Management of Purchase Orders
  • Ownership and tracking of IT process for new starters
  • Support onboarding and induction of new starters including:
  • Maintain induction packs and personal knowledge content
  • Support new starters in the use of generic processes and tools
  • Deliver general induction
  • Security access for new starters
  • Develop a network of contacts within the business who can support effective solutions including TAs within and beyond the department
  • Event management and organisation including booking, managing invoices, organising catering etc

Experience & Skills:

  • Proficient use of MS Office
  • Previous experience in a team assistant role or PS supporting multiple people
  • An ability to prioritise is key as is the ability to manage a broad range of tasks
  • Ability to demonstrate attention to detail
  • Experience working in a large organisation across a breadth of functions
  • Ability to seek out and connect with "solution providers", irrespective of whether they are based in the office or remotely
  • Ability to prioritise tasks and manage a complex network of internal and external contacts
